Site Permissions Grid

Introduction

Permissions in your Shiftboard ScheduleFlex environment are what controls which accounts have access to various tools. Whenever adding an account to your site and subsequently any teams/workgroups, you will designate what permissions that account will utilize. Currently in ScheduleFlex there are four core or primary permission designations with two secondary, the use cases for each are detailed below.

Permission Types

Primary

Member – Those with member permissions are typically staff being scheduled, picking up shifts, clocking in/out and/or submitting timeoff requests

Coordinator – Those with coordinator permissions are generally synonymous with team leads, (shift supervisor, charge nurse and sergeants) if internal to an organization or if external will typically be a client representative)

Manager – Individuals with Manager level access will normally be schedulers or those responsible for scheduling/overseeing a team/workgroup

Admin – These will be administrative staff like directors who are responsible for overseeing the entire site and operation of said site.

Secondary

Supervisor – The Supervisor permission is a secondary function for those with Manager level permissions where you can designate particular managers are direct supervisors of individual staff.

API – This permission level will not be discussed in this document however its use case would typically involve integrations

The Permission Grid

To assist in managing user permissions more effectively Shiftboard ScheduleFlex has introduced a dedicated permissions grid. To access the permissions grid, you’ll first need to be in the Admin console and have Site Admin permissions yourself. Once there, select the Settings icon (cog/gear) from the navigation bar and on the far right, select the Permissions tab. This will take you to the below screen.

 

The permission grid itself is broken down into a number of different sections and depending on the tools currently enabled for your site you may see greater or fewer options here. Sections may possibly include the following depending on site configuration

-          Accounts/Memberships

-          Availability

-          Saved Schedules

-          Scheduling

-          Site Management

-          Timeoff

-          Timecards

At the top of the permissions grid is a search function which allows you to narrow and filter your view to a subset of permissions if desired.

Finally, while the permissions grid does address how different accounts can interact with key functions, there remain some tools/functions that retain independent access settings such as the Financial tools payrate visibility functions or timeclock accessibility. These exceptions will be covered separately in additional articles along with a breakdown of each section of the permissions grid.
