Site Permissions Grid: Definitions

This article provides a further breakdown of the site permissions grid providing definitions for each individual setting.  For general information on the site permissions gid, please refer to the hyperlinked article Site Permissions Grid

Permissions Definitions by Section:

Accounts & Memberships

Add Accounts to Site  - The ability to manually add/create wholly new accounts in your environment                                            

Add/Remove Memberships – The ability to add accounts in your environment to teams/workgroups rosters                                                               

Delete Accounts from Site – The ability to completely delete accounts from your environment.                                                            

Set Membership Levels or Add/Remove Coordinators/Managers – The ability to adjust other account(s) permissions on teams/workgroups               

Saved Schedules                                            

Use Saved Schedules  - The ability to utilize a previously generated Saved Schedule template and apply it to the calendar                                                         

Create For Site - The ability to generate new Saved Schedule templates and make them available across the site                                                     

Create For Team – The ability to generate new Saved Schedule templates for specific teams/workgroups                                                                 

Create Personal – The ability to generate new Saved Schedule templates for use by one account                                                                 

Delete For Site (Mine) – The ability to delete previously generated Saved Schedule templates     for your (the users) account                                              

Delete For Site (Other's) – The ability to delete previously generated Saved Schedule templates produced by other accounts                                                                    

Delete For Team (Mine) - The ability to delete previously generated team/workgroup specific  Saved Schedule templates for your (the users) account                                                         

Delete For Team (Other's) - The ability to delete previously generated team/workgroup specfic Saved Schedule templates produced by other accounts                                                                   

Delete Personal – The ability to delete previously generated Saved Schedule templates produced by your (the users) account 

Scheduling                                                             

Assign  - The ability to assign open/unfilled shifts on the calendar for teams/workgroups the users account is associated with                                                    

Create  - The ability to manually create shifts on the calendar for teams/workgroups the users account is associated with                                                                  

Delete  - The ability to delete unpublished shifts on the calendar for teams/workgroups the users account is associated with                                                                  

Delete Published Shifts -The ability to delete previously published shifts on the calendar for teams/workgroups the users account is associated with                                                                

Enable SMS Option During Shift Creation – The ability to utilize SMS texting when posting shifts for teams/workgroups the users account is associated with                                                                      

Manage Signups – The ability to manage shifts where sign up list is utilized for teams/workgroups the users account is associated with                                                             

Override Assignability  - The ability to override Assignability preferences such as OT restrictions, Conflict Restrictions, Seniority, etc for teams/workgroups the users account is associated with. Note that Assignability Preferences vary depending on tool/functions/rules in place for your environment                                                 

Publish – The ability publish shifts during or after the shift creation process for teams/workgroups the users account is associated with.                                                          

See Excluded Assignees – The ability to view those users excluded from the Assignment candidate list as a result of conflicts due to OT restrictions, conflict restrictions, etc. Note the reasons a user may be excluded from the Assignment candidate list may vary depending on the tools/functions/rules in place for your environment                                                              

Unpublish – The ability to unpublish previously published shifts on the calendar for teams/workgroups the users account is associated with.                                                                        

Update - The ability to update/change unpublished shifts previously added to the calendar for the teams/workgroups the users account is associated with.                                                       

Update Published Shifts – The ability to update/change published shifts                                                                       

Site Management

Approve Registrations - The ability to approve Registrations/applications for a new user account coming in via the Shiftboard ScheduleFlex online Registration/Application page                                                          

Create New Teams - The ability to create wholly new teams/workgroups and associated rosters for scheduling.                                                             

Download Custom Reports - The ability to access and download custom build reports. Note, if Managers/Coordinators are provided this access they may have access to data for staff other than those directly under them depending on custom report configuration.                                                             

Download Reports - The ability to download standard ScheduleFlex reports                                                                

iOS QRPassport App Administration - The ability to access QRPassport settings on an already configured device.                                                           

iOS QRPassport App Setup - The ability to install and set up QRPassport on a wholly new device.                                                               

Send Welcome Letters - Tthe ability to send Welcome Letters to users providing them with their login credentials                                                         

View Registrations - The ability to view new Registrations/applications for new user accounts. Note the permission to approve said Registrations is separate                                                                 

Time Off

Timeoff Approve/Deny - The ability to approve/deny user TimeOff/PTO requests.                                                          

Timeoff Create - The ability to create TimeOff/PTO requests. Note that Coordinators and above given this permission can also create entries for other users.                                                         

Timeoff Delete - The ability to delete previously entered TimeOff/PTO (pending) requests. Note that Coordinators and above given this permission may also be able to delete entries for other users regardless of origin.                                                         

Timeoff Delete Approved/Denied  - The ability to delete previously approved/denied TimeOff/PTO requests. Note that Coordinators and above given this permission may also be able to delete entries for other users regardless of origin.                                                                            

Timeoff Update - The ability to update existing TimeOff/PTO (pending) requests. Note that Coordinators and above given this permission may also be able to update entries for other users regardless of origin.                                                                       

Timeoff Update Approved/Denied - The ability to update existing approved/denid TimeOff/PTO requests. Note that Coordinators and above given this permission may also be able to update entries for other users regardless of origin.
